Privacy Policy

Vendr is a product of SyncCube Technology Pty Ltd (“SyncCube”, “Vendr”, “we”, “us”). This Privacy Policy explains how we handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

Who we are

Vendr is a property-centric prospecting platform for individual residential real estate agents, operated by SyncCube Technology Pty Ltd. Vendr provides the tooling agents use to manage properties, owners, follow-ups, market updates, appraisals and proposals.

Two kinds of personal information flow through Vendr: information about the agent who holds the account, and information about property owners that the agent uploads or enters. The agent decides what owner information to collect and why; Vendr processes that information on the agent’s instructions (see “Roles” below).

Information we collect

Agent account information: name, email address, phone number, business name, sender/postal address, login and session data, subscription and billing status, branding settings, and support communications.

Owner and property information (entered or uploaded by agents): owner names, property addresses, phone numbers, email addresses, notes, follow-ups, consent records, interaction history, and any market updates, appraisals or proposals created for that property.

We collect this information when an agent signs up, imports a file (such as an RP Data or CSV export), enters records manually, uses the product, or contacts support.

How we use information

We use information to provide and operate the Vendr service: storing property and owner records, supporting imports and exports, managing follow-ups and worklists, sending account-related emails, sending owner-facing communications where the agent has instructed us to (market updates, appraisals, proposals), operating billing through Stripe, securing the service, providing support, and complying with our legal obligations.

Owner information is used only to run the agent’s prospecting workflow and to send owner-facing content that the owner can opt out of. We do not sell personal information, and we do not use owner information for our own marketing.

Service providers and overseas disclosure

We share information with service providers only as needed to run the service: hosting and database infrastructure, email (SMTP) delivery, and Stripe for payment processing. These providers act on our instructions and are not permitted to use the information for their own purposes.

Vendr does not currently use third-party artificial intelligence services to process owner personal information. If we introduce AI-assisted features that process personal information, we will update this policy and use providers that do not train their models on that data.

Some of our service providers may store or process information outside Australia. Where that occurs, we take reasonable steps to ensure the information is handled consistently with the APPs.

Security

We protect personal information using authenticated sessions, password hashing, HTTPS in production, application-layer tenant isolation (each agent can only access their own data), access controls, and database backups. We aim to keep owner personal information out of application logs except where strictly required for security, audit or compliance.

Access, correction, export and deletion

Agents can view and correct their account details in the app at any time, and can export their properties, owners and timeline data to CSV from the More section. To delete your account and the data associated with it, email privacy@vendrre.com and we will action the deletion within a reasonable period, retaining only what we are required to keep for legal, billing or security purposes.

Owners can ask the agent who holds their information, or contact us at privacy@vendrre.com, to access, correct, unsubscribe from, or request deletion of their information. Because the agent controls the owner relationship, we may need to direct certain requests to the relevant agent.

Roles: agent as controller, Vendr as processor

The agent is responsible for having a lawful basis to hold and contact the owners in their database (such as consent or an existing business relationship). Vendr provides the tooling and processes owner data on the agent’s instructions. The agent warrants that they have the right to upload owner data and to send the messages they send.

Marketing messages and unsubscribe

Commercial electronic messages sent through Vendr (such as market updates and appraisals) include accurate sender identification, a postal address, and a one-click unsubscribe link that does not require logging in. When an owner unsubscribes, we withdraw their email consent and suppress them from future sends through Vendr. We honour unsubscribe requests promptly.

Retention

We retain personal information for as long as the agent maintains their account and uses the service, and as needed to provide the service. After an account is deleted, we remove the associated data except where retention is required for legal, billing, backup or dispute-resolution purposes, after which it is deleted in the ordinary course.

Privacy questions, requests and complaints can be sent to privacy@vendrre.com. We will acknowledge and respond within a reasonable time. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
